Our Privacy Policy is shown below and reflects the requirements of the GDPR (May 2018), which regulates the processing of personal data relating to you and your various rights in respect of your personal data. We would like to reassure you that any personal data that you give us will be treated in complete confidence. 1. PERSONAL DATA WE COLLECT

When joining a course you will be asked to complete a registration form, providing the following information: full name, email address, postal address and telephone number of the delegate, in relation to young people Parent/Guardian’s full name, relationship to child, email address and telephone number; Student’s name and date of birth; Emergency contact names & numbers. If the course is a MHFA England Course, the registration will be direct with MHFA England and they will be the data controller for this information. If JJEllis Ltd request this information in addition or instead of, they will remain the data controller. It will be made clear in joining instructions who the Data Controller will be. In relation to expeditions and outdoor activities, you will also be asked for Emergency contact names & numbers. This information is used only by JJEllis Limited and is not shared with any third parties. We outline why we need this data and how it is used below. You will also be asked whether you or your child have any medical/other needs that we should have further information on for the safety of you or your child in our care. If you need to provide further medical/other information we will email you a supplementary information form that you will be asked to complete and return to the class teacher, we do not store this information electronically.

Sensitive personal data

The Data Protection Act (GDPR 2018) gives special protection to sensitive personal data which will include information relating to health or sex life, race or ethnic origin, political beliefs or membership, philosophical or religious beliefs, trade union membership and information about the commission of offences and related proceedings. The information provided on the supplementary information form is deemed as sensitive personal data, you should only provide this if you agree to us to processing/holding this information.

Instructors

If you apply to teach as a associate self-employed contractor at JJEllis Limited, we will collect information such as your name, contact details, proof of address, date and place of birth, photo Identification and your CV. We will also need to see a copy of your DBS certificate before offering you a position. We will only retain your DBS certificate reference number and date of issue. If you provide details of a reference, it is your responsibility to make sure that the person is aware that you have forwarded his/her details for these purposes.

2. HOW INFORMATION ABOUT YOU WILL BE USED

The information we collect allows us to:

• Contact you

• Keep in touch regarding day to day matters

• Contact you in an emergency

• Process your request to teach at JJEllis Ltd

• Make payments to you

• Administer our websites

• Provide customer services

• Meet legal, regulatory and compliance requirements including those relating to safeguarding children

 

3. LAWFUL BASIS FOR DATA PROCESSING

​Enrolment forms – Lawful Basis = Consent: you the individual has given clear consent for us to process the personal data for a specific purpose.

Medical Information – Lawful Basis = Vital interests: the processing is necessary to protect someone’s life.

Assoicate bank details – Lawful Basis = Contract: the processing is necessary for the contract we have with you.

 

4. HOW INFORMATION ABOUT YOU BE SHARED

We will not share your personal data with any third parties. We may however disclose your personal data when we believe this is required by law, to enforce or comply our terms and conditions or to protect the rights, property, safety of JJEllis Ltd, our customers or others.

 

5. RETENTION PERIODS

Your personal data will be held for the period that you or your child attends JJEllis Limited and will be destroyed/deleted within six months following the completion of the course, unless agreed otherwise.

 

6. YOUR RIGHTS

You have the right to access the personal data that is held about you by JJEllis Limited and can request at any time that the information be added to, modified, restricted/suppressed or deleted. You also have the right to ask JJEllis Limited to stop communicating with you. You can do this verbally or in writing to JJEllis Limited at this email address – info@jjellis.co.uk.

 

7. SECURITY

Your personal data will be securely stored to avoid accidental loss and unauthorised access, use, alteration or disclosure and we have implemented reasonable technical and organisational measures designed to secure your personal data.
